10 Time Management Tips for Busy Entrepreneurs
As an entrepreneur AND a parent, managing your time effectively is one of the most crucial skills you can master. With endless tasks and responsibilities pulling you in different directions, it's easy to feel overwhelmed. But the good news is that with the right strategies, you can regain control of your time and boost productivity. This is something that I’m always curious about, there’s always room for better time management. Comment below or let me know if you think I’m missing something!
Here are 10 practical time management tips to help busy entrepreneurs stay on track:
1. Prioritize Your Tasks with the 80/20 Rule
Also known as the Pareto Principle, the 80/20 rule suggests that 80% of your results come from 20% of your efforts. Identify those key tasks that drive the most value and focus your time on them. Delegate or minimize the rest to maximize productivity.
Tip: Use kanban board or project management tools like Asana, Trello, Monday, Notion or even a simple Google Sheets project plan to categorize tasks by importance and impact.
2. Plan Your Day the Night Before
Taking a few minutes each evening to plan the next day can set you up for success. Make a to-do list with the top three priorities for the day. This simple habit allows you to hit the ground running in the morning and eliminates decision fatigue.
Tip: Keep your list visible—whether it’s on a planner, whiteboard, or digital app.
3. Time Block Your Schedule
Time blocking involves setting specific time slots for different activities throughout your day. This helps create structure and ensures that each task gets the attention it deserves.
Tip: Dedicate time for focused work, meetings, and even breaks. Stick to these blocks as much as possible to maintain discipline.
4. Use the Pomodoro Technique
The Pomodoro Technique is a time management method where you work for 25 minutes, followed by a 5-minute break. After four cycles, take a longer 15-30 minute break. This approach can boost focus and prevent burnout. I even use this for my kiddos whenever they are doing a “less preferred” activity. This is a wonderful “hack”!
Tip: Use a simple timer or Pomodoro app to stay consistent with your sessions.
5. Automate Repetitive Tasks
Automation is a time-saver for any entrepreneur. Use tools that automate tasks like social media posting, email responses, invoicing, and even client onboarding processes.
Tip: Tools like Zapier, Hootsuite, or Mailchimp can streamline workflows, freeing up time for higher-level tasks.
6. Learn to Say "No"
Entrepreneurs often face the pressure to say yes to every opportunity. But taking on too much can dilute your effectiveness. Be selective about what you agree to, focusing on activities that align with your business goals. (I need to listen to my own advice with this one…)
Tip: Practice polite ways to decline offers that don’t serve your immediate priorities.
7. Delegate and Outsource
You don’t need to do everything yourself. Identify tasks that can be handled by others and delegate them to team members or contractors. This frees up your time to focus on what matters most—growing your business.
Tip: Partner with Tyler Jane & Co to outsource tasks such as admin work, project management, design, or social media management.
8. Eliminate Distractions
Distractions can derail your productivity. Whether it’s social media, unnecessary meetings, or constant notifications, minimizing interruptions is key to staying focused.
Tip: Set "Do Not Disturb" hours on your phone and computer, and consider tools like Focus@Will to improve concentration.
I also just found that you can reduce notifications on your phone and watch - while I love being plugged in across all of my systems, it does a lot for my mental health to not be as bombarded with notifications!
9. Set Realistic Goals
Setting clear and realistic goals ensures you stay focused and avoid unnecessary work. Break large projects into manageable steps and celebrate small wins along the way.
Tip: Use the SMART goals framework (Specific, Measurable, Achievable, Relevant, Time-bound) to structure your objectives.
10. Take Breaks to Recharge
Working nonstop can lead to burnout. Make sure to schedule regular breaks to recharge your energy and creativity. A quick walk, short meditation, or even a 10-minute stretch can do wonders for your productivity.
Tip: Block time for self-care in your calendar to ensure you don’t skip it.
By implementing these time management strategies, you can take control of your schedule, boost efficiency, and create more space to focus on the growth of your business. Remember, it’s not about working harder—it’s about working smarter. You can do this!
